This is the hub where all committee members of a societies and sports clubs can find resources to help support them to run, coordinate, and develop their groups, including key forms for requesting support from the Students' Association.

FUNDING

Clubs and Societies Funding Request Form

Used to send a request to the Students' Association to request funding on behalf of your society, please return it to the Community and Societies Coordinator, requesting funding is not essential but may be a helpful resource to help your group achieve it's core activity or aims. Please provide 4 working days (Monday - Friday) for this form to be reviewed and the request approved, rejected, or approved with alterations, this request is approved exclusively by the elected Student President and Vice President. 


EVENTS AND ACTIVITIES

Template Risk Assessment

This resource can be downloaded, completed and sent to the Community and Societies Coordinator, and must be done so in advance of an event or activity on campus outside of the Students' Association building on 20 Scott Street, events and activities off-campus in particular, and also activities within the Students' Association building, these could be regular activities or one-off events. Contact the coordinator for support with completing it if required.

Example Risk Assessment

This resource is an example of a compelted risk assessment and students may wish to download this to understand how a completed risk assessment should look. 

Event Profit and Loss Spreadsheet

This spreadsheet will help any student organising an event to consider and make note of your incoming and outgoing money's with the project. The spreadsheet is set up for running a music or DJ event but students can edit the document to be more reflective of whatever event they are organising - large or small - where you need to consider incoming and outgoing money and even ticketing pricing. It is encouraged to meet with the Community and Societies Coordinator at the Students' Association when your event is aiming to create profit or breakeven so they can provide further support and advice.

Societies External Speaker Request Form

Please complete and return this form providing 10 working days (Monday - Friday) for the request to be accepted. This form allows the Students' Association to understand if your society would require any extra support, or any particular precautions organised by the Students' Association in order for you to host your guest/speaker/facilitator on campus. Please note Societies have the autonomy to invite who they wish on campus in keeping with the Students' Association's values and commitment to inclusivity.

Societies Food Safety & Allergen Pack

This pack has been created by a student member of staff for use by other students to help advise them how GSASA requires them to work with food - be it a potluck/picnic event to the serving of cooked/prepared food. It helps you understand guidance that exists to support the safe serving of food and also understanding allergens and how to notify students eating food link to your activity/event about this, a really important area to have knowledge on considering how serious and life-threatening some allergic reactions can be.

Societies Item Inventory

Use this document as a way to record for your own internal use what items your society owns, their condition, dates of any relevant safety testing (if appropriate), it is a huge asset to ensuring you handover items between changes in who forms your committee/lead organisers of your society. This document should be able to be produced, up to date, to the Community and Societies Coordinator at any time throughout the year at request and helps you provide good stewardship to your society's resources.

How to Guide: Viewing Paid Memberships and Fees of Your Society

This guide explains how committee log ins on this GSASA Union Cloud website can be used to view which students have paid for memberships/joining of your society either free memberships or with monetary value, and also which students have paid fees for events or activities your society runs. Please talk to the Community and Societies Coordinator to set up paid memberships and events.
